Responsibilities & Context
We are seeking for a dedicated and proactive Admin & Office Secretary to join our school administration team. The ideal candidate will provide comprehensive administrative support, manage day-to-day operations, and serve as a key liaison between parents, staff, and management. This position requires excellent organizational and communication skills and the ability to multitask effectively in a dynamic school environment.
Key Responsibilities:
- Serve as the Secretary to the Managing Director (MD) – manage communications, schedule appointments, send emails regarding meetings and handle confidential tasks.
- Support the admission process ONLY in the absence of the HR, including updating and maintaining admission records in Excel.
- Manage and monitor the number of photocopies required across departments and ensure availability of printing supplies
- Oversee the students’ transport system – coordinate routes, liaise with transport vendors, and address parent queries regarding transportation.
- Prepare student-related certificates such as Transfer Certificates (TC), No Objection Certificates (NOC), and Studentship Certificates.
- Check emails on a daily basis and update the relevant people regarding any matters
- Assist the HR in drafting and issuing appointment letters and other official letters/documents.
- Work closely with the HR and Head of Admin on various administrative functions and HR support tasks. Update the HR about all tasks/issues on a regular basis.
- Provide daily assistance to the Senior Admin staff in completing all assigned administrative duties.
- Act as the primary point of contact for parents face to face and over phone – address concerns, provide information, and coordinate with relevant departments/staff to resolve issues.
- Respond to incoming phone queries professionally and efficiently.
- Perform any other administrative duties as assigned by the Managing Director (MD).
- Handle all general administrative tasks to ensure smooth daily operations of the school office.
