Responsibilities & Context

RDRS Bangladesh is seeking applications for the position of Finance & Administrative Officer under USAID’s Fight Slavery & Trafficking in Persons (FSTIP) Project.

Key Responsibilities:

  • Administrative & Logistical Support:
  • Oversee daily administrative operations and ensure seamless office functioning.
  • Organize logistics for meetings, workshops, conferences, and special events.
  • Ensure the security and safety of office premises, assets, and personnel.
  • Coordinate procurement and stock management of office supplies, equipment, and project-related materials on a quarterly or as-needed basis.
  • Ensure functionality and maintenance of office equipment (printers, photocopiers, computers, etc).

Documentation & Records Management:

  • Maintain updated records including staff leave registers, inventory logs, and other administrative files.
  • Prepare and manage both digital and hard copy documentation—scanning, binding, photocopying, and filing.
  • Maintain registers for incoming/outgoing mail and ensure timely correspondence distribution.
  • Support internal and external audits through well-organized procurement and administrative files.

Procurement & Finance Coordination:

  • Assist the Accountant with procurement documentation including quotations, vendor communications, and payment processing.
  • Maintain up-to-date procurement files in line with organizational and donor requirements.
  • Support in processing financial and administrative documents for approval.

General Office Support:

  • Ensure regular servicing of office equipment and timely troubleshooting.
  • Assist in dispatching important documents through courier or official mail.
  • Uphold discipline, confidentiality, and professionalism in all tasks.
  • Promote teamwork and contribute positively to the work environment.

Other Duties:

Perform any additional tasks as assigned by the Project Manager or senior management to meet organizational needs.
